What are the important dates for exhibitors?

IMPORTANT DATES:

3/21/24 - EXHIBITOR STAFF BADGE ASSIGNMENTS ARE DUE All exhibitor staff badge assignments must be completed in your exhibitor portal.

4/1/24 - ADVANCE SHIPMENT RECEIVING BEGINS 
First day warehouse will begin receiving advance shipments without surcharges.

4/1/24 - ALL SPONSORSHIP FEES ARE DUE Any sponsorship fees that are on your account must be paid by this date or your sponsorship could be at jeopardy of not being displayed. 

4/3/24 - ADVANCE ORDER DISCOUNT DEADLINE
All orders must be received with payment in full by this date to receive discounted pricing.

4/10/24 - ADVANCE ORDER DEADLINE - RENTAL EXHIBITS & CUSTOM TABLE THROWS
All orders must be received with payment in full by this date to guarantee production of the order for the show.  These items will not be available to order after the deadline date.

4/23/24 - ADVANCE SHIPMENT DEADLINE
Last day for advance shipments to arrive at warehouse without surcharges.

Your lead retrieval access email will be sent out by this date. This email will come from our Exhibitor Platform, EdgeReg. Lead Retrieval is included in your exhibit fee and will be accessed through the app This will be through Cadmium, we do not have a date yet.

Need Exhibitor Registration Information?

As a reminder, all companies need to designate their complimentary exhibitor registrations in the exhibitor portal. In addition, if you are interested in upgrading your Exhibit Hall Only Complimentary Pass to an All-Access Pass, this needs to be done manually by Kenlee Steighner on the ABMA team by contacting her directly at kenlee@abma.com.

Complimentary registrations are in your exhibitor portal under the task list. To alter or finalize your complimentary registrations, please refer to your confirmation email for login information.
 
Please note: Expo-only registrations are for exhibiting company representatives working the exhibit and allow for access to the expo for setup, tear down and both days of the show. These registrations do not get access to general and educational sessions, meal functions and receptions.

EQUIPMENT SHIPPING

ABMA is excited that many of our exhibitors will be shipping equipment to BOILER 2024. Please note the height and width of the largest freight door at the Gaylord Rockies is:

Elephant Door: 22’T x 18’W

Roll-Up #3: 15’T x 14’9”W à leads from dock into Hall 2
Small Roll-Up #4: 10’T x 8’W à leads from dock into BOH
Roll-Up #5: 15’T x 14’9”W à leads from dock into Hall 3
Interior Roll-Up BOH Hallway: 10’T x 8’W
Double Doors: 6’10”T x 6’8”W

In addition, each company shipping equipment will need to fill out a short survey for Alliance & Gaylord that has already been sent out to exhibitors from ABMA.

MATERIAL HANDLING
It is recommended to ship all exhibit materials to the advanced warehouse. Shipping to the warehouse will ensure that materials are in the booth space for exhibitor set up. The warehouse deadline date has been extended for receiving to ­­­­Tuesday, April 23, 2024. The standard warehouse material handling charge will be honored for all shipments received by this date. Any shipments sent directly to the facility will be required to be handled by Alliance Nationwide Exposition Company. The prevailing warehouse material handling rate plus a 20% minimum surcharge will be added to all direct shipments.

Warehouse receiving hours are Monday - Friday, 8:00am - 4:00pm (local time).

Advance shipments should arrive between Monday, April 1, 2024 and Tuesday, April 23, 2024.

All shipments received outside these dates will be subject to a late fee.

Shipments that arrive at the warehouse after Tuesday, April 23, 2024 cannot be guaranteed to arrive before show opening. Additional handling charges will be added for expedited trucking and freight.

Electrical, Internet & AV Needs?

All Electrical, Internet & AV Requests will be handled directly with the Gaylord Rockies. You can locate the Electrical, Internet & AV Request Form within the Alliance Exhibitor Service Kit portal.  (Additional Information à Utilities & Event Suppliers à  Electrical, Internet & Audio Visual). You will click a link to download a PDF, once open, you will click on the Electric / AV / Internet / Catering link where it will then bring up the Gaylord Rockies Online Ordering page to purchase, electrical, internet & AV.

Hanging Sign, Rigging & Truss Requests?

All Hanging Sign, Rigging & Truss Requests will be handled directly with the Gaylord Rockies. You can locate the Hanging Sign, Rigging & Truss Request Form within the Alliance Exhibitor Service Kit portal.  (Additional Information à Utilities & Event Suppliers à  Electrical, Internet & Audio Visual). You will click a link to download a PDF, once open, you will click on the Hanging Sign, Rigging and Truss Requests link at the bottom of the page. This will then take you to Encore’s website where you will submit your request.
